Adding personal and team calendars to Microsoft Outlook

If you use Microsoft Outlook to keep track of your day, it's super useful to be able to see all your time off in the same place. Team Absence lets you subscribe to your personal calendar, or to any of your company's team calendars.

There are lots of different versions of Outlook and the steps needed to subscribe to an iCal calendar feed vary considerably, with some versions not supporting the option at all.

First you'll need to get a link to your live calendar feed in Team Absence. Log in to Team Absence and scroll to the bottom of your personal calendar. Look for a link called 'Export your calendar' and click on it - this will copy your unique calendar link to the clipboard for you, ready for the next step...

Outlook 2007

  • Open Outlook 2007 and click on the 'Tools -> Account Settings...'
  • Go to the Internet Calendars tab and click on New...
  • Paste the iCal link from the first step into the box for location of the Internet Calendar and click on the Add button.
  • Complete the process by clicking OK and Close.
  • Next time Outlook performs a 'Send/Receive' it will update your calendar with events from Team Absence.

Outlook 2010

  • Open Outlook 2010 and switch to the calendar view.
  • Click on Manage Calendars and choose 'Open Calendar -> From Internet...'
  • Paste the link from Team Absence into the New Internet Calendar field and click OK.
  • You calendar events will start to appear in Outlook's calendar after a few moments.

Outlook Office 365

  • Open Outlook and click 'File -> Account Settings -> Account Settings'
  • Find the Internet Calendars tab and click New.
  • Paste the link from Team Absence into the URL field and press Add.
  • Give your new calendar subscription a name and confirm the dialog
  • Outlook will update your calendar from Team Absence from time to time

Outlook Web App

  • Login to your outlook.com account and go to the calendar app.
  • From the menu, choose 'Import > Subscribe'
  • Paste the link from Team Absence into the URL field and press Subscribe.
  • Outlook will update your calendar from Team Absence from time to time

Your personal calendar entries will include your notes to remind you why you booked the time off. However, Team calendars will just include the name of the person the event relates to, for confidentiality reasons.
